Practice Proof ("Practice Proof", "we", "us", "our") provides marketing, technology and AI services to law firms. This policy explains what personal information we collect through practiceproof.com (the "Site"), how we use it, and the choices you have. It applies to visitors, prospective clients, and clients of Practice Proof.
1. Information we collect
We collect information in the following ways:
Information you give us directly. When you submit a form (contact form, free growth audit, or a landing page enquiry), we collect what you provide: name, firm name, email address, phone number, and any message or audit responses you enter. Form submissions are processed by our form provider, Formspree, Inc.
Information collected automatically. Like most websites, we use Google Analytics (GA4) to understand how visitors use the Site: pages viewed, time on site, referring pages, approximate location (city/country level), and device/browser type. This is aggregated, statistical data used to improve the Site, not to identify you personally.
Cookies. Google Analytics sets cookies to distinguish visitors. You can disable cookies in your browser settings, or opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on. Disabling cookies will not affect your ability to browse the Site or submit a form.
2. How we use your information
We use the information we collect to:
• Respond to enquiries and provide the free growth audit, consultation, or information you requested
• Communicate with you about our services, if you have asked us to
• Understand and improve how the Site is used
• Meet our legal and accounting obligations
We do not sell your personal information. We do not use your information for automated decision-making that produces legal or similarly significant effects.
3. Who we share information with
We share information with a small number of service providers who process it on our behalf, under their own privacy and security obligations:
• Formspree, Inc. — processes and delivers form submissions to us
• Google LLC — Google Analytics (GA4) for site analytics
• Vercel Inc. — hosts the Site
We do not share your information with third parties for their own marketing purposes. We may disclose information if required to by law, or to protect the rights, property or safety of Practice Proof, our clients, or others.
4. International data transfers
Practice Proof works with law firms in Australia, the United States, the United Kingdom, Canada and New Zealand. Our service providers (including Google and Vercel) operate infrastructure in multiple countries, which means information may be processed or stored outside your home country. Where this occurs, we rely on our providers' own compliance frameworks (such as standard contractual clauses) to protect your information.
5. Data retention
We keep enquiry and client information for as long as reasonably necessary to respond to you, deliver our services, and meet legal, accounting or reporting obligations, after which it is deleted or de-identified.
6. Your rights
Depending on where you are located, you may have the right to access, correct, delete, or request a copy of the personal information we hold about you, or to object to or restrict certain processing. This includes rights available under the Australian Privacy Act 1988 (Cth), the UK/EU General Data Protection Regulation, and equivalent US state privacy laws. To exercise any of these rights, contact us using the details below.
7. Security
We take reasonable technical and organisational steps to protect the personal information we hold, including the use of encrypted (HTTPS) connections and reputable third-party infrastructure providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Children's privacy
The Site is intended for law firm professionals and is not directed at children. We do not knowingly collect personal information from anyone under 16.
9. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the Site after an update constitutes acceptance of the revised policy.
